Festival Assistant Vacancy

This newly created position is a fantastic opportunity for an enthusiastic candidate to play an important role in an exciting and fast-growing classical music festival. The Festival Assistant will work in a supporting role to the General Manager and be involved in a wide variety of activities from festival administration to event management, artist liaison to website development. The ideal candidate will be resourceful and organised with great attention to detail. They will be flexible and enjoy variety, with strong people skills to build great relationships with the festival’s many stakeholders. The role has considerable development potential and would suit a recent graduate (or equivalent) who wants to develop a career in the arts and build a broad skillset.

Job Profile

The role reports to the General Manager and key responsibilities include:

Festival Administration

  • Timely and accurate preparation of contracts with artists and venues
  • Preparation for Board and sub-committee meetings and minute taking
  • Database and website maintenance, ensuring information is always accurate, secure and current
  • Management and administration of rights and licensing
  • Policy support and administration to ensure appropriate standards are always maintained (policies include those relating to Health and Safety, Safeguarding, Data Protection, Diversity and Sustainability, Risk Assessment and Insurances)
  • Liaise with and provide administrative and practical support to the Volunteers committee
  • Maintain an organised festival office, ensuring good record-keeping
  • Box Office administration and assistance as needed

Events

  • Support the planning, implementation and logistics of all festival events
  • Conduct venue assessments and prepare seating plans
  • Assist with the planning and delivery of transport, accommodation and hospitality for artists, working closely with the volunteers committee
  • Support the production and development of RyeStream, the festival’s video streaming platform.Marketing and Communications
  • Support the festival’s annual marketing, advertising and PR campaigns
  • Provide administrative support for all publications and communications relatingto the festival’s members, subscribers, and supporters
  • Work closely with the festival’s many volunteers, nurturing the goodwill that is a key component of the festival’s success.

Funding Streams

  • Support and administrate the festival’s annual drive to secure advertising revenue
  • Work closely with the Artistic Director and General Manager to report on fundraising activities
  • Coordinate and develop income from the festival’s staging and lighting hire

PERSON SPECIFICATION

Essential

  • Enthusiasm and good people skills
  • Good written and verbal communication
  • Keen to develop a broad skillset
  • Self-motivated and able to work both collaboratively and independently
  • Enthusiasm for the arts and events management
  • Current driving licence

Desireable

  • Arts or charitable sector experience
  • Good IT and Excel skills
  • Enthusiasm for classical music

Timeframe

Deadline for applications: 30th November 2021
1st interviews (video call): 3rd and 6th December 2021
2nd interviews (in person, in Pickering, N. Yorks): 13th and 14th December 2021

Salary

This is a permanent position and is expected to be full-time, but part-time applications will be considered. The salary range is from £20,000 – £22,000 FTE, based on suitability and experience.

Holiday

Up to 30 days per annum (including Bank Holidays)

Location

Based at the festival’s office in Pickering, with flexibility for a mix of part-office/part-home working each week once established in the role.
